Sanwa Loss Adjusters Personal Information Protection Policy

Our core businesses are property assessments and loss adjustments related to general insurance. We handle large amounts of important customer information when commissioned by general insurance companies.
This of course relies on the relationship of trust that we have with general insurance companies. And we perform our work under the assumption that the customers of general insurance companies maintain the same relationship of trust with us.Our basic policy is to maintain the highest level of vigilance and systems with regards to the protection of personal information.
Accordingly, we have established a Personal Information Protection Policy that includes the following items. We pledge to enforce and maintain this policy.

Personal Information Protection Policy
  1. We will comply with all laws and regulations, national guidelines, and other standards and norms concerning the handling of personal information including employee personal information in the course of our business.Moreover, we have established a personal information protection management system that complies with Japanese Industrial Standards’ "Personal information protection management systems−Requirements" (JIS Q15001), and we use this to safeguard personal information.
  2. When we acquire or use personal information, we will identify our purposes of use. We will not handle personal information outside of the scope of what is necessary to achieve the identified purposes of use (utilization for other than intended purposes). Moreover, we will implement appropriate management measures to ensure information is not used for other than the intended purpose.
  3. We will not share personal information with third parties unless we have obtained permission from the subject of that personal information, or when laws and ordinances require us to do so.
  4. If we receive complaints or inquiries concerning our handling of personal information, we will swiftly investigate the details and facts of the case, and will respond in good faith within a reasonable period of time.
  5. We will establish organizational, human, physical and technical safety measures in order to properly manage the personal information we acquire, and work to prevent and remedy its leakage, destruction or damage.
  6. We will strive to improve our protection of personal information by continuously reviewing our personal information protection management system, taking into account changes in environment and social conditions.

    • *[1] We collect the personal numbers of employees, outside experts, etc. This information is used on necessary documents such as earned income withholding certificates, salary payment reports, written notices of acquisition of health insurance and welfare annuity insurance, etc. These documents are submitted to the district director of the tax office, the head of the municipality, the Japanese Pension Service, etc.

  2. Procedure for Disclosure, Amendment, etc.

    We will accept requests from the subject of personal information for: disclosure of such information that is subject to disclosure, notification of purposes of use, amendment of disclosed personal information in case of factual errors, etc. and discontinuation of use of personal information or discontinuation of its provision to third parties.     Please be aware that, of your relevant requests, requests for disclosure and notification of purpose of use will incur a fee of 800 yen per time. Moreover, if you send your request by mail the fee should be sent by bank transfer, etc.
